What I see in Reports/Registers is different from what I see in the Edit screen?

The two absence databases have gone out of sync – this can happen when multiple users are entering data, or SM\PF5 has had a significant data change. To correct go to Utilities and click Rebuild from the audit trail. Do this when no other users are in AB5.

Some students who have lots of absences on their Edit screen don’t always show up as being absent on the Register report?

The main Edit screen shows Period information, the Register report is by half day. The conversion between the two is set by the user in Configuration Period Information. Ensure your number of morning periods includes all classes prior to lunch and that you enter suitable numbers in 4 and 5, ie. if you have four morning periods, entering 3 in step 4 will prevent those students with two morning absences from showing in a Register report.

I have marked some students with a truancy code but reports do not show them as being absent?

In Configuration Absence Codes change Truancy from No actual Absence to Unexplained.

How can I have audio alerts when I am entering data?

In Configuration Miscellaneous tick one or both sound warning boxes.

Several buttons in the Reports area are greyed out. How do I fix this?

These reports need a link to your timetable. Firstly check Configuration Paths to ensure you are pointing at a valid Teachers.5xx file (usually a TT5, TT or TTSM\TT folder) – xx is your current timetable number. Once this is correct check you have the correct timetable number filled in each TT column in Configuration Calendar.

We have two days with six periods and three with five. How can we configure this in AB5?

A In Configuration Period Configuration fill in the larger number of periods in step 1, then when entering data ensure you do not fill in data for period 6 on those days that do not in actuality have a period 6. Some consideration will be required when setting a value in step 5, the pm half day conversion.

How can I filter the Edit screen for a specific ethnic group or sporting group?

Use the Renamable category filter. If the grouping you require is not there, set it up in PF5 or SM, then it will be available in AB5.

What is Teacher Data Entry?

When you select this method to enter Absence data a teacher sees only there own students and they cannot edit existing data.

What is the easiest way to print out a students absence record for the year?

Use the Print button on the Edit screen.

Is there a way to get Absence information into my ClassRoom Manager reports?

In Utilities use the Update Other Summaries facility to push the data you require into ClassRoom Manager. Note, you may have to set up the appropriate columns in ClassRoom Manager before you can do this.
